The Challenge

In its pre-Rippling days, Sitemate relied on a tangle of spreadsheets, emails, and Slack messages to manage its HR needs. Processes were highly manual—to request time off, employees would email their manager, who in turn would email someone in accounting, who’d then add it to Xero. It was time for a change.

The Outcome

Rippling fits Sitemate’s needs like a glove. With all of its data in one unified platform, suddenly new insights could be surfaced for board meetings and future employees. Sitemate was able to get its SOC 2 certification with the help of Rippling’s app and device management. And the biggest game-changer of all: Rippling simplified processes for onboarding, promotions, and payroll.

Founded in 2018, Sitemate offers “no-code software tools for the built world,” as VP of Operations Annabel Tomlin explains. Companies in construction, engineering, mining, energy, and other industries turn to Sitemate to improve their processes, digitize their paperwork, and manage their information.

Expanding from its headquarters in Sydney to London, Vancouver, and more sites around the world, Sitemate turned its attention to internal processes and saw an opportunity. 

"We didn't have an HRIS system in place, so the operations team was fielding a lot of noise, a lot of 'what do I do' questions," says Annabel. So, Sitemate’s founder and CEO Hartley Pike went out in search of a solution: He found Rippling.

A massive time-saver

While Sitemate was busy helping industrial workers and companies streamline their processes and digitize their information, its own operations flow left a lot to be desired.

Before Rippling, for employees to request time off, a cascade of emails had to be sent across the company, with the final recipient in accounting manually adding the request to their payroll software.

Employee data was managed in Confluence, Excel, email, and Slack, with no central database or source of truth. Additionally, it was time to get SOC 2 compliant—and the status quo just didn’t cut it anymore.

Rippling changed it all. “It just makes it so much easier and efficient for everybody. Rippling has saved us so much time,” says Annabel.

The right tool for the job

With Rippling, Sitemate finally had a platform that could house all of its data. “Having it all in one place is very handy,” as Annabel puts it. 

As a multinational company that’s continually expanding across the globe, Sitemate’s complex needs are being met by Rippling. Hartley describes Rippling’s ability to scale policies globally as “priceless.” 

All Sitemate employees are now onboarded through Rippling, a process that’s become a snap. And employees have “found it really useful and easy to use,” says Annabel. The experience has been “super positive,” she adds.

And with Rippling’s app and device management, Sitemate was able to get its SOC 2 certification.

A real game-changer

Sitemate has discovered how housing all of its data in Rippling gives them powerful insights that they can share with key audiences.

“It’s been handy in the recruitment process,” says Annabel, “being able to genuinely look at the makeup of our team and answer that question when someone asks, ‘How diverse is your team?’ I can actually pull the numbers and provide that information to hiring managers.”

In a similar vein, Sitemate now has a much clearer view of salary bands and compensation trends—and they can share critical data with the board and investors with confidence. 

Sitemate managers are especially keen on the approvals app, which Annabel says is “a real game-changer.”

“That’s been really awesome to have. Managers can go in and request promotions or configuration changes for their team,” she says.

What’s really delighted Annabel and her team is that Rippling is growing and evolving along with them. 

“We’ve laughed sometimes because we talk about needing to improve this process, and then we get an email from Rippling saying, ‘We’ve got this new app! Do you need this?’ And then we’re like, oh my God, yeah, just what we needed! You guys have thought of everything that we need.”
