Cradle to grave: How UPS West Monroe automated its entire HR workflow

Doug Harvey wanted an automated system that ensured no detail was forgotten across his business. With Rippling, he brought together scheduling, time tracking, payroll, recruiting, and benefits so he could focus on building a thriving business.

The Intro

The UPS Store West Monroe is a locally owned business services center built to help individuals and small businesses ship, print, and get things done in West Monroe, Louisiana.

approaches his UPS Store franchise with the precision of an engineer. For him, a well-run business comes down to one thing: whether your systems actually talk to each other. As he prepared to expand from one location to two in Louisiana, Doug wasn't overwhelmed by the complexity of his tasks, he was frustrated by the constant manual work of moving data between systems. By switching to Rippling, Doug moved from a "crude" process requiring constant manual oversight to an all-in-one "cradle to grave" workflow that maintains itself.

The Challenge

The mental burden of manual bridges

Before the switch, Doug’s payroll was a multi-step manual bridge. He had to export timesheets, drop them into a formatting sheet, and then move that data into QuickBooks. While the individual tasks weren't difficult, the cumulative mental burden was high. Doug found himself constantly double-checking that information hadn't "broken" during the transfer. "None of this was easy," Doug recalled. He needed a system that would alert him if there was an issue, rather than one he had to manually audit every week.

The search for a cohesive structure

As Doug added more staff, he wanted to offer a professional benefit structure, including 401ks and health reimbursements (QSEHRA). He refused to manage these as separate, disconnected silos. He wanted one system where data and accuracy didn't fall through the gaps between hiring, scheduling, and payroll.

Adding benefits in QuickBooks was really painful. It doesn't plug in well to others.

The "back-and-forth" operational drain

Recruiting was Doug’s most persistent operational drain. Between managing in-store walk-ins and Indeed applicants, he was spending hours on the repetitive "back-and-forth" of scheduling interviews. These distractions kept him from the "big picture" work of building a thriving, two-store business.

The Solution

Doug was looking for a solution that could "put everything under one roof." When I Work validated Rippling as a preferred partner, giving Doug the confidence that his most important operational hand-off between the schedule and the paycheck would be a single, unified flow.

We had one system that worked (When I Work), so it was important not to break that. Having them validate Rippling as a preferred partner gave it a different level of credibility.

An all-in-one "cradle to grave" engine

Doug’s favorite improvement is the connected recruiting and onboarding workflow. From the moment a candidate scans a QR code in the store, they enter an automated pipeline that stays connected through their entire tenure. Once Doug hits "hire," the system triggers a chain reaction: sending offer letters, initiating I-9s, and even using onboarding data to automate uniform ordering. New hires fill out a questionnaire during onboarding that captures their uniform size, so the right gear is ordered before their first day. Rippling's Google Meet integration also handles interview scheduling automatically, so Doug no longer has to coordinate back-and-forth to get a candidate on the calendar.

That part is a drastic difference, it just happens.

Interconnected payroll & compliance

Doug no longer has to mentally check in on his data. Timesheets approved in When I Work send correctly into Rippling without manual export. The system handles the rigid tax treatments and compliance questions automatically, ensuring that salary adjustments or employee advances are documented correctly on the pay stub without Doug having to audit the bridge between systems. Employees noticed the difference too. Doug says the structured pay stubs gave his team more confidence in what they were being paid and why.

The Impact

With every system better connected, Doug has fundamentally changed how he spends his time and mental energy.

Reclaiming time for the big picture

During peak recruiting cycles, Doug estimates he saves 10-12 hours a week. By automating the interview scheduling and candidate visibility, he has replaced administrative "busy work" with time spent on strategic growth.

You can do all these things with a level of ease. It’s not just the time saved, but doing more with the time you have.

Big-company benefits, without the overhead

Doug can now offer "big company" benefits without the administrative drag of a larger team. The system acts as his automated navigator, ensuring that everything from 401k eligibility to tax boxes on W-2s is handled correctly. Because everything runs on Rippling, he doesn't have to worry about data being forgotten or misaligned; it’s built to maintain its own accuracy.

Hands-off compliance and peace of mind

For Doug, the ultimate goal was a system he didn't have to touch. By offloading high-stakes compliance tasks to an all-in-one system, he no longer has to handle sensitive employee information or worry about missing a critical step in the payroll-to-benefits handshake. He replaced a manual Asana checklist he used to maintain himself with automated task flows that trigger on their own when someone is hired or leaves.

I tell people: 'You need to go into Rippling and do that.' I don't touch that stuff. For a small company, that's the dream. It’s automated way more of my life.

The dream state

It’s night and day. I’m always trying to figure out who has already figured this out so I can just do what they’re doing—and Rippling figured it out.
